Please read these terms carefully before booking your journey with YaatriX. Your booking confirmation indicates acceptance of these terms.

These Terms and Conditions govern all bookings, transactions, and communications between YaatriX and its customers. By confirming a tour or service with us, you acknowledge that you have read, understood, and agreed to the following terms. These Terms form a legal agreement between you ("User", "you", "your") and YaatriX and govern your access to our website, mobile apps, booking channels and any services provided through them.

Key Definitions 📖

  • Booking: Any confirmed order, reservation or purchase made through the Platform for Services.
  • Supplier: A third party (hotel, airline, activity operator, visa agent, transport provider, etc.) that actually provides the underlying Service.
  • Quotation: A written offer or itinerary we provide containing details, prices, payment schedule, inclusions/exclusions and cancellation terms.
  • User Content: Any text, images, reviews, feedback or other materials submitted by you on the Platform.
  • Platform: Our website, mobile apps, booking channels and any related services.

Who We Are & Our Role 🤝

YaatriX acts as a travel service facilitator and intermediary connecting travelers with airlines, hotels, transport operators, and local partners.

  • We ensure that all service providers associated with YaatriX are reliable and maintain the highest travel standards.
  • YaatriX is responsible only for arranging and coordinating services as per the confirmed itinerary.
  • We do not own or operate airlines, hotels, transport fleets or local attractions (unless explicitly stated).
  • Your contract for supply of the Services is typically with the Supplier; however, these Terms govern your relationship with YaatriX as the booking facilitator.
  • YaatriX shall not be liable for any inconvenience, delay, or loss caused by external factors such as weather, strikes, airline issues, or local regulations beyond our control.

Booking Process & Contract Formation 📋

Understanding how bookings work and when a binding agreement is formed.

  • How to Book: Select Services on the Platform, provide required traveller details, accept the Quotation/terms, and complete payment via available payment methods.
  • Binding Agreement: A binding contract forms when we issue a booking confirmation in response to your payment and acceptance of the Quotation.
  • After successful payment you will receive a booking confirmation (voucher, e‑ticket or email).
  • For package bookings, the Quotation together with these Terms becomes the governing contract.

Pricing, Taxes & Payment Terms 💰

All package prices quoted by YaatriX are based on current rates of airfares, hotel tariffs, and foreign exchange values at the time of quotation.

  • All prices shown on the Platform are in the currency specified (INR unless stated otherwise) and may include estimated taxes and charges.
  • Final taxes, service charges, transaction fees or government levies may apply.
  • Prices may change due to fluctuations in fuel surcharges, taxes, or exchange rates.
  • Once full payment is received and the booking is confirmed, the quoted amount becomes final unless changes are requested by the traveler.
  • All bookings must be supported by advance payment to initiate reservations.
  • The balance amount must be cleared before the commencement of travel.
  • Payments can be made through approved online methods, UPI, bank transfer, or other channels as accepted by YaatriX.
  • In case of delayed payments, YaatriX reserves the right to cancel the booking without prior notice.
ℹ️ Price Lock: Your quoted price is locked once full payment is confirmed and booking is finalized.

Travel Insurance Requirement 🛡️

For every domestic and international tour, YaatriX strongly advises travelers to purchase valid travel insurance before departure.

⚠️ Important Notice:

Travel insurance protects against unexpected medical emergencies, trip cancellations, and baggage loss. We strongly recommend securing coverage covering illness, cancellation, baggage loss and emergency evacuation before your journey begins.

  • If a traveler chooses not to take insurance, YaatriX will not be responsible for any injury, medical cost, or loss during the trip.
  • If insurance is purchased through a third-party provider, any claim or assistance must be coordinated directly with that insurance company.
  • YaatriX's responsibility is limited to facilitating a connection between the traveler and the insurance provider.
  • Insurance is your responsibility unless an insurance product is offered and specified in the Quotation.

Cancellation & Refund Policy 💳

We understand that travel plans can change, and our refund policy ensures fair treatment to all customers.

📌 Cancellation By You:

Cancellation and modification rules depend on the Supplier and the Quotation. Fees may apply.

  • Cancellations must be submitted in writing via email or WhatsApp to YaatriX's customer support team.
  • Cancellation charges depend on the proximity to the departure date and the policies of hotels, airlines, or local operators.
  • For package bookings, cancellation charges detailed in the Quotation will be applied.
  • Refunds (if applicable) will be processed within 7–14 working days after deducting applicable charges.
  • Certain non‑refundable fees (convenience charges, third-party fees, TCS) may not be refundable.
  • YaatriX is not liable for refunds in cases of natural calamities, government restrictions, or airline-related cancellations.
  • Unused services such as missed transfers, sightseeing, meals, or activity slots are non-refundable.
📌 Cancellation By Suppliers or Us:

If a Supplier cancels or materially changes a Service, we will notify you and use reasonable efforts to offer alternatives. Refunds are processed once Suppliers provide the refunded amount.

🚫 No-Show Policy: In case of a no-show or late arrival, no refund shall be applicable.

Travel Documents & Entry Requirements 📄

Travelers must carry all necessary travel documents including valid passports, visas, ID proofs, and permits.

  • Passport must be valid for at least 6 months from the date of travel.
  • It is the traveler's responsibility to verify document validity before departure.
  • YaatriX may assist with visa facilitation/processing, but the final decision lies with the respective embassy or consulate.
  • Any visa rejection, delay, or loss of documents will not be the liability of YaatriX.
  • Passengers must check flight schedules, baggage rules, and government travel advisories before traveling.
  • You are responsible for ensuring you hold valid passports, visas, health certificates, and comply with entry requirements.
  • We do not accept liability for denied entry, missed flights or additional costs due to incorrect or missing documentation.
📋 Document Checklist:

Always verify passport validity (minimum 6 months), visa requirements, vaccination certificates, and travel permits well in advance. VOA (Visa on Arrival) and tourism taxes are payable as per government rules and are non-refundable.

Supplier Policies & Operational Matters 🏨

Understanding third-party supplier terms and hotel/service provider policies.

  • Supplier Terms: Booking confirmations include or reference Supplier terms (baggage allowances, check‑in rules, age/health restrictions). You must comply with those terms.
  • Suppliers may refuse service where rules are not met.
  • Hotel Policies: Hotel check‑in and check‑out times follow standard hotel policies (typically 2 PM check-in, 11 AM check-out).
  • Early check-in/late check-out is subject to availability and may incur additional charges.
  • Room allotments are controlled by the hotel; specific room requests cannot be guaranteed.
  • Overbooking & Substitutions: If a Supplier overbooks or is unable to fulfil a Service, we will seek a comparable alternative.
  • Liability is limited to the value of the affected Service.
  • Only the services mentioned in the itinerary/quotation are included.
⚠️ Important: Any extra services such as additional sightseeing, activities, meals, or upgrades will be chargeable and not included in the base package.

Transfers & Transportation 🚗

Information about ground transportation, transfers, and related services.

  • Transfer types (shared or private), pickup points and luggage allowances will be specified in your Quotation.
  • Transfers and sightseeing are provided as per the itinerary (private/shared as specified).
  • We are not liable for delays caused by traffic, mechanical breakdown, or driver decisions.
  • Any extra charges (excess luggage, overtime, extra usage beyond itinerary) are your responsibility and will be charged directly by the driver/operator.
  • Drivers and operators reserve the right to refuse service in case of misconduct or rule violations.

Health, Safety & Assumption of Risk ⚠️

Important safety information for adventure activities and health considerations.

  • Certain activities are inherently risky (adventure sports, trekking, water sports, cruise tours, mountain climbing).
  • By booking these services, you accept those risks and agree to follow safety instructions.
  • Activities like water sports, cruises, and outdoor adventures are subject to weather conditions.
  • If any activity is cancelled due to weather or government restrictions, refunds depend upon the activity operator's policy.
  • Health conditions should be disclosed where required; failure to disclose may result in denied participation without refund.
  • Travellers must ensure they are medically fit for travel.
  • Adventure activities are undertaken at the traveller's own risk.
🏔️ Risk Acknowledgment: By participating in adventure activities, you acknowledge the inherent risks and release YaatriX from liability for any injuries or accidents that may occur.

Behaviour, Conduct & Local Regulations 🤝

Expected conduct during travel and compliance with local laws and customs.

  • You must behave lawfully and respectfully at all times.
  • Abusive, threatening or intoxicated behaviour may lead Suppliers or transport providers to refuse or terminate service without refund.
  • You will be liable for damage or costs caused by your conduct.
  • Any misconduct, property damage, or rule violation by guests may result in denial of services without refund.
  • Destinations have specific laws regarding dress codes (especially at religious sites), drug regulations, beach safety, and environmental rules.
  • Fines or penalties arising due to guest actions must be paid by the traveller.

Please respect local customs, dress codes at religious sites, and environmental regulations. Violations may result in fines that are the traveler's responsibility.

Voucher Usage & Service Delivery 🎫

  • Vouchers are non-transferable and valid only for the services mentioned in the confirmed itinerary.
  • Any services not listed or not confirmed on the voucher will not be rendered.
  • Vouchers must be presented to service providers as proof of booking.
  • Lost or misplaced vouchers may result in denied service; replacements are subject to verification.

Liability & Force Majeure ⚡

YaatriX shall not be liable for any loss, delay, or damage caused by events beyond its control.

  • Neither party is liable for failure or delay caused by events beyond reasonable control (acts of God, epidemics, pandemics, government actions, strikes, war, severe weather).
  • YaatriX is not liable for delays, changes, or cancellations caused by natural disasters, weather issues, strikes, or government restrictions.
  • We will endeavour to assist with alternatives where possible.
  • In case of Force Majeure, YaatriX will make reasonable efforts to reschedule or modify the booking.
  • However, financial responsibility for additional costs will rest with the traveler.
🌪️ Force Majeure Events: Natural disasters, pandemics, political unrest, and other unforeseeable circumstances may affect travel plans. YaatriX will assist where possible but cannot be held liable for such events.

Limitation of Liability & Indemnity ⚖️

Understanding the limits of YaatriX's liability and your responsibilities.

📊 Liability Limits:

To the maximum extent permitted by law, YaatriX's total liability for any claim arising out of or in connection with these Terms is limited to the total price paid for the relevant booking.

  • YaatriX acts as a booking facilitator and is not responsible for operational issues caused by hotels, airlines, or tour operators.
  • YaatriX will not be liable for indirect, special, consequential, or punitive losses.
  • The final responsibility for the quality and performance of on-ground services lies with the respective third-party provider.
  • Compensation, if applicable, will be processed only as per the supplier's policy.
  • Indemnity: You agree to indemnify and hold YaatriX harmless from any loss, claim, liability or expense arising from your breach of these Terms, unlawful conduct, or negligent acts.

User Content & Intellectual Property 📝

Rights and responsibilities regarding content and intellectual property.

  • By posting User Content (reviews, photos, feedback), you grant YaatriX a worldwide, perpetual, royalty-free licence to use, copy, adapt and publish that content for marketing and operational purposes.
  • You warrant you own or have rights to any content you upload.
  • All Platform content (text, images, logos, software, design elements) is protected by intellectual property laws and owned by or licensed to YaatriX.
  • Unauthorized use, reproduction, or distribution of Platform content is strictly prohibited.

Data Protection & Communications 🔒

How we handle your personal information and communications.

  • Our collection and use of personal data is described in our Privacy Policy.
  • By using the Platform you consent to our processing of personal data for booking, communications and legal compliance.
  • You may receive transactional or promotional communications via email, SMS, or WhatsApp.
  • You can opt out of marketing messages as described in the Privacy Policy.
  • Essential booking-related communications cannot be opted out of.

Payment Gateways & Security 💳

  • Payments are processed through third‑party payment gateways.
  • We do not store raw card details on our servers.
  • You must follow all security instructions when completing payments.
  • We are not responsible for breaches at payment providers beyond our reasonable control.
  • All payment information is encrypted and transmitted securely.
  • No-cash policy: Payments are accepted via approved digital methods as mentioned in the Quotation unless cash payment is explicitly authorized in writing.
🔐 Payment Security:

Your payment information is processed through secure, PCI-DSS compliant payment gateways. We never store your complete card details.

Complaints, Disputes & Support 📞

How to report issues and seek resolution for travel-related concerns.

  • Report operational complaints promptly to our support team during or immediately after your trip.
  • For travel-related refund claims or service disputes, provide supporting evidence (photos, receipts, documentation) within 5 business days of trip completion unless otherwise stated in the Quotation.
  • We will investigate all complaints and respond as per our internal complaints process.
  • For assistance during travel, guests must contact the YaatriX support team using the emergency contact shared in the voucher.
  • Resolution timelines depend on the nature of the complaint and cooperation from suppliers.
⏰ Timely Reporting:

Please report any issues during your trip immediately to allow us to resolve them in real-time. Post-trip complaints should be filed within 5 business days with supporting documentation.

Governing Law & Jurisdiction ⚖️

Legal framework governing these Terms and dispute resolution.

  • These Terms are governed by the laws of the state of Rajasthan, India.
  • All disputes or legal matters shall be governed under Indian law.
  • The courts of Jaipur, Rajasthan shall have exclusive jurisdiction over any disagreements arising from bookings made with YaatriX.
  • Alternative dispute resolution (arbitration) may be agreed in writing for specific cases as mentioned in your Quotation.

Severability, Waiver & Miscellaneous 📄

  • Severability: If any provision is invalid or unenforceable, the remainder of the Terms remains effective.
  • Waiver: No waiver of rights is effective unless in writing and signed by an authorized representative.
  • Third-party Links: We are not responsible for content or privacy practices on external websites linked from the Platform.
  • Entire Agreement: These Terms together with the final Quotation and Privacy Policy form the complete agreement between you and YaatriX.
  • Assignment: You may not assign or transfer your rights under these Terms without our written consent.

  • The latest version will be posted on the Platform with the updated date at the top of this page.
  • Continued use of the Platform after publication indicates acceptance of the revised Terms.

  • Bookings made before a Terms update are governed by the Terms in effect at the time of booking.

Bali Trip – Additional Terms & Conditions

The following additional terms apply specifically to Bali tour packages and must be read in conjunction with the General Terms above.

🌴 Bali-Specific Requirements:

Bali has unique entry requirements, cultural norms, and operational considerations. Please review these carefully before your trip.

  • Passport Validity: Passport must be valid for at least 6 months from the date of travel to Indonesia.
  • Visa & Tourism Tax: VOA (Visa on Arrival) costs approximately IDR 500,000 and Bali Tourism Tax (IDR 150,000) are payable directly upon arrival as per Indonesian Government rules and are non-refundable.
  • Hotel Policies: Bali hotels typically have check-in at 2 PM and check-out at 12 PM. Early check-in or late check-out is subject to availability and additional charges.
  • Weather-Dependent Activities: Water sports, island cruises, and outdoor activities are heavily weather-dependent. If cancelled due to weather, refunds depend on the activity operator's policy.
  • Temple Dress Codes: Bali has strict dress codes for temple visits. Sarongs and appropriate attire are required. Failure to comply may result in denied entry.
  • Cultural Sensitivity: Respect local customs, particularly during religious ceremonies. Photography may be restricted at certain sites.
  • Environmental Rules: Bali has strict environmental laws. Littering, coral damage, and plastic usage violations carry heavy fines.
  • Transportation: Bali traffic can be unpredictable. Buffer time is built into itineraries, but delays may occur beyond our control.
  • Currency: Indonesian Rupiah (IDR) is the local currency. Credit cards are widely accepted, but cash is needed at some locations.
  • Health Precautions: Drink only bottled water. Be cautious with street food. Carry necessary medications and insect repellent.
  • Drug Laws: Indonesia has extremely strict drug laws with severe penalties including death penalty. Avoid any involvement with illegal substances.
  • Emergency Contacts: Local emergency contacts and YaatriX Bali support numbers will be provided in your travel voucher.
⚠️ Critical Bali Information: Indonesia has zero-tolerance drug laws. Possession or trafficking of illegal drugs can result in life imprisonment or death penalty. Always comply with local laws and regulations.
